What are appointment filters and how do they work?

Appointment filters allow you to pay individual providers different rates for different appointment services they offer.                                                                                                                                                                                                                                                          

 If your studio offers multiple appointment types — such as personal training, private lessons, or nutrition consultations — appointment filters help the software distinguish between them so each provider can be compensated appropriately.                                                                                                          Every account that uses appointment pay requires at least one appointment filter.                                                                                                                                                                                                                                                                                                   

 When do I need multiple appointment filters?                                                                                                                                                               

 Scenario 1: Different rates for different services                                                                                                                                                         

 Let's say your studio offers both personal training and nutrition consultations. Alex earns $75 per personal training session but $50 per nutrition consultation. You would create two appointment filters 

  — one for personal training and one for nutrition consultations — then assign each filter a different flat rate on Alex's payrate.                                          

 Scenario 2: Only paying for certain services                                                                                                                          

 Morgan teaches group classes and also does private lessons. You only want to pay Morgan an appointment rate for private lessons, not for any other service type. You would create an appointment filter that targets only private lessons, and assign it to Morgan's payrate. Any other appointment types would not generate pay.                                                                                                                            

 Scenario 3: Same rate for all services                                                                                           

 If all of your providers earn the same flat rate regardless of which appointment service they perform, you only need a single appointment filter. You can use the built-in "All Services" filter, which  matches every appointment type. Each provider can then be assigned their own flat rate under that single filter.                                                                                                                                                                                       

 How do I set up appointment filters?                                                                                                                                       

 Navigate to Appointment Filters in the left menu. When creating a new filter, you can choose from the following options:                                                                                                                                                                                                                                                                           

 - All Services — matches every appointment type (use this if all services pay the same rate)                                                                                                               

 - Specific Services — matches only the appointment services you select from a list                                                                                                                                                                                                                                                                                               

 Once a filter is created, you assign it to individual providers through the Payrates page. Each provider's appointment payrate consists of a filter (which appointments to pay for) and a flat rate (how much to pay per session).                                                                                                                                          

 What is the global appointment session filter?                                                                                                                     

 In addition to per-employee appointment filters, there is also a global Appointment Settings configuration (found under Settings). This allows you to exclude specific services from appointment pay       

 processing entirely — across all employees. For example, if your studio offers complimentary consultations that should never generate pay, you can exclude that service globally so it is ignored during payroll processing.                                                                                                                                                                                                                                                                                                                                                                                                    

 Important notes                                                                                                                                                                                                                                                                                                                                                                                    

 - Appointment pay currently supports flat rate only — each matching appointment session pays the provider a fixed dollar amount regardless of session duration.                                            

 - Each appointment session must match exactly one filter per provider. If a session matches zero or multiple filters, the payroll report will display an error for that session.                           

 - Filters assigned to a payrate cannot be changed — you must delete the payrate and recreate it with a different filter.                                                                                   

 - Appointment pay can be disabled for individual employees using employee tags, even if they have appointment payrates configured.                                                                         

 - Cancelled appointments are automatically excluded and do not generate pay.
